RENTAL AGREEMENT
PLEASE READ CAREFULLY
1. Only GRSA members may reserve the main pavilion for a function. Pavilion reservations will be accepted after the GRSA Board approves the club Race and Event schedule for the new calendar year. Pavilion may not be reserved on Friday through Sunday between Memorial Day weekend (including Monday) and Labor Day weekend (including Monday) or on days when club events are scheduled. The pavilion can be reserved on weekdays Monday through Thursdays during this time. The pavilion may not be reserved on Thanksgiving Day, Christmas Eve, Christmas Day, New Year’s Eve or New Year’s Day.
Pavilion rental includes use of the main pavilion, kitchen, ice machine, refrigerator, oven, microwave, bathrooms, grills, fireplace, wifi, speakers, on stie games (ping pong, corn hole), and playground.
2. There is a maximum limit of 75 guests, and all events must end by 10:00PM. All other GRSA facilities and property, including but not limited to, the restrooms, boat ramps and docks shall remain accessible to all members and their guest in accordance with GRSA site rules. Members are responsible for informing their guest of parking etiquette so not to impede on members' access to boats.
3. A total of $250 is required upon reservation request, this includes $150.00 non-refundable charge for use of the pavilion confirms the reservation and $100.00 damage deposit. The renter has 5 days to complete and return the post event check list to the Pavilion Committee Chair. Upon inspection, if the kitchen has been properly cleaned and damage has not occurred, the damage deposit will be returned to the member within 30 days. Any damages or loss in excess of $100.00 will be the sole responsibility of the member. USE OF THE KITCHEN DOES NOT ENTITLE THE MEMBER OR THEIR GUESTS TO USE OR CONSUME ANY OF THE CLUB’S SUPPLIES OR FOOD ITEMS.
4. Renter is responsible for all clean up and returning the facility to original configuration, including placement of all trash in designated trash receptacles. Trash receptacles must be returned to the bin storage area at the conclusion of the event. A post event checklist will be provided to the renter upon confirmation and must be completed and returned and checked by the Pavilion Chairperson at the conclusion of the event (within 5 days) to receive the deposit fee.
5. Renter is responsible for the proper use of the facility and amenities (kitchen, grills, large cooker, fireplace, etc.) and should inquire with Facilities or Pavillion Chairs with any questions prior to use.
6. Renter may use the fireplace and fire pit on site. If used, must ensure fire is extinguished prior to leaving. DO NOT USE WATER TO EXTINGUISH FIRES IN EITHER THE COOKER OR THE FIREPLACE, AS DAMAGE WILL RESULT. NEVER LEAVE A FIRE UNATTENDED. The Renter is responsible for refilling the wood racks and replacing the gas tanks used during the event.
7. Renter is responsible to know and follow the GRSA's Code of
Conduct, Site Rules Greater Richmond Sailing Association - Site Rules & FAQs and takes full responsibility for invited guests. Any member, members’ families or guests, who damage or otherwise deface any club facility, including but not limited to the pavilions, outdoor furniture, kitchen, or bathrooms will be subject to disciplinary action and possible membership revoking. Reminder- per Site Rules, no business, political, or religious events are permitted.
8. GRSA is a family oriented recreational and social organization. As such, MEMBERS ARE ACCOUNTABLE FOR THE RESPONSIBLE CONSUMPTION OF ALCOHOLIC BEVERAGES BY ALL ATTENDEES DURING EVENTS on GRSA property. UNDER NO CIRCUMSTANCES SHALL ALCOHOLIC BEVERAGES BE PROVIED TO INDIVIDUALS UNDER THE AGE OF 21. Violation of this rule could lead to revoking membership.
9. This agreement grants exclusive use of the designated facility only for the date and time specified. Members, who are the last to leave the site, must complete the checklist and MUST ENSURE THAT THE LIGHTS ARE TURNED OFF AND All DOORS (and gate) closed and LOCKED.
