Pavilion Reservations

The main pavilion may be reserved by members in advance and for a fee. Contact

pavilion@grsa.org   to inquire about available dates, make reservation requests, and/or for any questions.  


      Reservation Guidelines:

    • Available Dates:
      • Any day- Between Labor Day and Memorial Day (non-club event days) 
      • Monday through Thursday during the summer period (Memorial Day to Labor Day) except during sail camp times/dates.
    • Unavailable Dates:
      • Fridays through Sundays between Memorial Day weekend and Labor Day weekend.
      • Days when club events are scheduled.
      • Thanksgiving DayChristmas EveChristmas DayNew Year’s Eve, and New Year’s Day.
    • Special Conditions:
      • On days with Sail Camp or Adult Sailing Lessons, pavilion setup for evening events cannot begin before 6:00 PM.
    • Reservation Requirements:
      • Only Members can reserve the pavilion
      • Club Site Rules and Code of Conduct apply at all times for members and guests. 
      • Reservation form completed and payment received at least weeks in advance.
      • Maximum of 75 guests
      • If alcohol/liquor is consumed at the event, the Member is FULLY RESPONSIBLE and LIABLE for attendees. 
      • All events must end by 10:00 PM
      • Email pavilion@grsa.org for reservation requests
    • Note About Member Access:
      • Reservations are only for the main building, 
      • A one-time door code will be provided the week of the event and upon reservation and payment confirmation.
      • All other GRSA facilities (including shoreline gazebos, restrooms, boat ramps, and docks) remain accessible to members and guests in accordance with GRSA site rules.

      Registration for GRSA Adult Learn to Sail is completed online through the GRSA website, and a separate registration must be completed for each student, as the system does not allow multiple students or sessions to be combined into a single registration or payment. After completing the registration process, required paperwork will be emailed to you. All paperwork must be completed prior to the first day of the course.

      A waitlist is maintained for courses that reach capacity, and if space becomes available, you will be notified by phone and email and will have 48 hours to accept the open spot.

      Ahoy Mateys!

      Pirate Captains are seeking Swabbies, Buccaneers, and others of ill repute for a day of battle on the Swift Creek Reservoir.  Must have experience shivering timbers, swabbing poop decks and acts of mischief and mayhem.

      For those of you who may not have experienced the organized chaos known as the Pirate Regatta, it is a somewhat organized contest of wit and strategy.  Captains recruit as many crew as feasible armed with water guns, buckets and other water projectile armaments (NO WATER BALLONS allowed) and engage in battle against their fellow Captains.

      While thoroughly soaking your neighbors, you will also engage in parlay with other vessels in order to obtain valuable BOOTY.  A BOOTY CHALLENGE is a pirate version of Rock, paper, scissors and Capture the Flag!  The goal is to be the ship with the most booty at the end of the battle and/or possess the flag.  

      You may power your boat with sails, paddles, or any other human powered method.  For the safety of those who will end up in the water, NO ELECTRIC MOTORS (except for the race committee boat) shall be used.

      Of course, to the Victors go the Spoils!  Prizes will be given for:

      1. Capturing the “Flag”

      2. Collecting Booty

      3. Decorating your ship (of course your crew must exude the Pirate Spirit).

      4. Other “Swashbuckling Achievements” as decided by the Head Buccaneers in Charge.

      This is a family friendly event for pirates from 8 – 80 + years of age.  Food will be served after the event and should be done in time for folks to clean up and come back for dinner (separate registration required, please see calendar for details).

      RENTAL AGREEMENT

      PLEASE READ CAREFULLY

      1.       Only GRSA members may reserve the main pavilion for a function.  Pavilion reservations will be accepted after the GRSA Board approves the club Race and Event schedule for the new calendar year. Pavilion may not be reserved on Friday through Sunday between Memorial Day weekend (including Monday) and Labor Day weekend (including Monday) or on days when club events are scheduled.  The pavilion can be reserved on weekdays Monday through Thursdays during this time.  The pavilion may not be reserved on Thanksgiving Day, Christmas Eve, Christmas Day, New Year’s Eve or New Year’s Day

      Pavilion rental includes use of the main pavilion, kitchen, ice machine, refrigerator, oven, microwave, bathrooms, grills, fireplace, wifi, speakers, on stie games (ping pong, corn hole), and playground.

      2.      There is a maximum limit of 75 guests, and all events must end by 10:00PM. All other GRSA facilities and property, including but not limited to, the restrooms, boat ramps and docks shall remain accessible to all members and their guest in accordance with GRSA site rules.  Members are responsible for informing their guest of parking etiquette so not to impede on members' access to boats. 

      3.       A total of $250 is required upon reservation request, this includes $150.00 non-refundable charge for use of the pavilion confirms the reservation and $100.00 damage deposit.  The renter has 5 days to complete and return the post event check list to the Pavilion Committee Chair. Upon inspection, if the kitchen has been properly cleaned and damage has not occurred, the damage deposit will be returned to the member within 30 days.  Any damages or loss in excess of $100.00 will be the sole responsibility of the member.  USE OF THE KITCHEN DOES NOT ENTITLE THE MEMBER OR THEIR GUESTS TO USE OR CONSUME ANY OF THE CLUB’S SUPPLIES OR FOOD ITEMS.

      4.       Renter is responsible for all clean up and returning the facility to original configuration, including placement of all trash in designated trash receptacles.  Trash receptacles must be returned to the bin storage area at the conclusion of the event.  A post event checklist will be provided to the renter upon confirmation and must be completed and returned and checked by the Pavilion Chairperson at the conclusion of the event (within 5 days) to receive the deposit fee.

      5.        Renter is responsible for the proper use of the facility and amenities (kitchen, grills, large cooker, fireplace, etc.) and should inquire with Facilities or Pavillion Chairs with any questions prior to use. 

      6.        Renter may use the fireplace and fire pit on site. If used, must ensure fire is extinguished prior to leaving. DO NOT USE WATER TO EXTINGUISH FIRES IN EITHER THE COOKER OR THE FIREPLACE, AS DAMAGE WILL RESULT.  NEVER LEAVE A FIRE UNATTENDED.  The Renter is responsible for refilling the wood racks and replacing the gas tanks used during the event.

      7.        Renter is responsible to know and follow the GRSA's Code of 
      Conduct, Site Rules
       Greater Richmond Sailing Association - Site Rules & FAQs and takes full responsibility for invited guests. Any member, members’ families or guests, who damage or otherwise deface any club facility, including but not limited to the pavilions, outdoor furniture, kitchen, or bathrooms will be subject to disciplinary action and possible membership revoking.  Reminder- per Site Rules, no business, political, or religious events are permitted. 

      8.       GRSA is a family oriented recreational and social organization.  As such, MEMBERS ARE ACCOUNTABLE FOR THE RESPONSIBLE CONSUMPTION OF ALCOHOLIC BEVERAGES BY ALL ATTENDEES DURING EVENTS on GRSA property.  UNDER NO CIRCUMSTANCES SHALL ALCOHOLIC BEVERAGES BE PROVIED TO INDIVIDUALS UNDER THE AGE OF 21. Violation of this rule could lead to revoking membership. 

      9.       This agreement grants exclusive use of the designated facility only for the date and time specified.  Members, who are the last to leave the site, must complete the checklist and MUST ENSURE THAT THE LIGHTS ARE TURNED OFF AND All DOORS (and gate) closed and LOCKED.
